Let’s start with a couple of techniques to help you sift through the noise: the Pareto principle and the Eisenhower Matrix.

The Pareto principle, or the 80/20 rule, suggests that 80% of your results come from 20% of your efforts. Apply this to your task list. Ask yourself, “Which 20% of my tasks are going to produce 80% of my results and impact?” This approach helps you to identify tasks that yield the most significant outcomes.

Then, there’s the Eisenhower Matrix. It’s a simple box divided into four quadrants to help you categorize tasks based on urgency and importance. Things that are important and urgent go in one box; important but not urgent in another. The trick is to focus on the important, not just the urgent. This method helps you differentiate between what demands your immediate attention and what truly aligns with your long-term goals.

But these techniques are just starting points.

I teach people both the Pareto Principle and the Eisenhower Matrix because they are easy to understand. Once you get used to do the Pareto Principle, Eisenhower Matrix becomes easy. And since Pareto is fractal, I use a version I call 4% Solution.

Another favorite tool that I use these days is Dan Sullivan’s ABC Model. Once you get it, you will find yourself embracing the 4% Solution without even thinking of it. Let me tell you a bit about it.

Dan Sullivan’s ABC Model offers a unique perspective on task prioritization based on emotional response rather than just impact or urgency. This model categorizes tasks based on how they make you feel: irritating, okay, or fascinating and motivating.

  1. ‘A’ Tasks – Irritating :These are the tasks that you find tedious or annoying. They drain your energy and often are the ones you procrastinate on. While they might need to be done, they are not where you should be focusing your primary energy.
  2. ‘B’ Tasks – Okay: These tasks are neutral. You don’t mind doing them, but they don’t particularly excite you either. They are necessary and contribute to your goals, but they don’t ignite your passion.
  3. ‘C’ Tasks – Fascinating and Motivating: These are the tasks that you are passionate about, the ones that energize and motivate you. They are closely aligned with your strengths and often lead to your most significant achievements. These tasks are your ‘first things’ as they not only contribute to your goals but also keep you engaged and driven.

You can try it. List down all the tasks that you do each week.  Then, group them into three categories: irritating, okay, and fascinating.

How each task makes you feel is crucial in identifying your ‘first thing.’ It’s about focusing on tasks that are not only impactful but also bring a sense of fulfillment and motivation.

I can give you examples. But keep in mind that the things that fascinate me could be things that irritate you.

As a professional speaker, I have many tasks on my plate. I have to market my expertise. This may involve creating blog posts, landing pages, videos, podcast, social media posts, getting interviewed, and writing press releases. I need to meet prospective clients too, and before I can do that, I need to prepare a lot of things. As a keynote speaker, I do not deliver the same messages every time. So, I spend time understanding my audience. I craft my speeches, and rehearse them many times. I can easily list down 100 tasks, most of which are behind the scene.

My frequent readers know that I have written hundreds of articles. But as I am writing this, I realized that writing articles do not excite and fascinate me. Designing website, posting on Linkedin, and creating online courses and videos do not fascinate me.

Talking to people, in interviews or webinars, gets me energized. Seeing the people who will directly benefit from my creation makes me happy. And yes, I feel more alive when I am on stage talking about useful ideas that can immediately change the lives of people.
